Set up the term's fees

New to SR's fees? Read fee items, fee lists and payments first.

- Open Finance › Fees.
- Press New fee item for each thing you charge (Tuition, PTA Levy, Feeding…). Tick Tuition on the items a tuition waiver removes.
- Press New invoice, give it a title (“Term 1 Fees”) and tick the levels.
- On its card, press Fees: tick the items, type the amounts, and choose what pupils with a tuition waiver skip.
- Press Generate, tick the classes and confirm. Every active pupil there gets it; pupils who already have it are skipped, so it's safe to run again for new pupils.
Gave it to the wrong class? Press Remove and tick that class. Invoices with payments are kept.
Record a payment
Who can do thisAdmins and bursars

- Find the student on Students (search by name or SID).
- Student menu › Record payment, and pick the invoice if there's more than one.
- Fill in the amount, date, how it was paid (Cash, Mobile Money, Bank, Cheque or Other), the MoMo or bank reference, and who received it.
- Press Record. The receipt is in the student's Payments, ready to print or share.
A payment entered by mistake can be reversed from Payments. Adjust invoice gives a discount or adds a fine, with a reason.
Who owes fees
Who can do thisAdmins and bursars (class masters too, if the school allows)

- Open Finance › Debtors. It shows Owing; switch to All or Paid, or search for a student.
- Tap a student to open their fee account: record a payment or adjust from there.
- On a computer, press Print debtors for a printed list.
The day's payments

Admission fees

Charged once to a new pupil, in the term they join (forms, uniform, books…). Set them once per level; they stay until you change them.
- Open Finance › Fees and scroll to Admission fees.
- Press Fees on a level, tick the items and type the amounts.
- Admit pupils as usual. With “Charge admission fees” ticked (the default) they get an “Admission fees” invoice.
Changing the list doesn't touch admission invoices already given. Pupils imported from Excel are never charged.
Carry arrears into a new term
Who can do thisAdmins and bursars
- In the new term, open Finance › Fees.
- Press Arrears on the term's invoice and choose the term to carry from.
- Press Carry forward. Each pupil's unpaid balance is added to this term's invoice.
Balances from before SR

- Press Import balances, then Download sheet, fill in each pupil's old balance, upload it and press Check the file, then import.
Let parents pay online
Who can do thisAdmins (the Owner connects the account)
With the parent portal, parents see their children's fees and pay by Mobile Money from their phones. The money goes to the school's account through Paystack, and SR makes the receipt.
- Turn on the parent portal in Settings › Parent portal and choose what parents see.
- The Owner adds the school's account (bank account or Mobile Money wallet). We check it with Paystack before parents can pay, usually within a working day.
- Give parents access from each guardian's menu (guardians).
Online payments can't be reversed in SR. The school chooses who pays Paystack's fee: the school, or the parent on top.
