How attendance works

Each school day, every class has a register. Registers belong to numbered weeks of the term. An admin or HOD opens them; the class master marks them. Why it works this way.

Open the registers

Who can do thisAdmins and HODs

The Attendance page: a class's register for a day, each pupil present or absent
Attendance
  1. Open Attendance.
  2. Add the week (once a week): press (New attendance week), type the week number and press Add week.
  3. Open the day's registers: press (Open attendance), choose the date and the week, and leave Class on All classes (or choose one class). Press Open.
  4. Opened one by mistake? Press (Delete attendance opened by mistake) and choose it. Only registers nobody has marked can go.

Open registers before the day starts (or the evening before), so class masters can mark them first thing.

Mark the register

Who can do thisClass masters (and admins)

Class masters see only their own classes. It works the same on a phone, which is the quickest way in class.

A class master's register on a phone: each pupil marked present, absent or excused
Marking the register
  1. Open Attendance and choose your class in Stream Name if you have more than one.
  2. Tap the day in the round date buttons at the top.
  3. Mark each pupil: present, absent or excused. To start with everyone present, use the menu › Mark everyone present.
  4. Press Save. Made a mistake? Change it and press Update.

Absence alerts to parents

Who can do thisAdmins switch them on

With Absence alerts on in Settings › SMS, each absent child's parents get an SMS once a day, at the time you choose. Registers marked on the desktop count too, once it has synced. Each message uses SMS credits (see Messages).

Attendance on report cards

When the report settings show attendance, each report card says how many of the term's school days the pupil was present (for example “present 58 of 60”). That's why every class must use the same registers. Report settings.

Questions

Why can't a teacher open a register?
So every class counts the same school days, and attendance on report cards can be compared. An admin or HOD opens them; teachers mark them.
Can I correct a register after saving it?
Yes. Change the marks and press Update.
What's the difference between absent and excused?
Both mean the pupil wasn't there. Excused is for an absence the school accepts (illness with a note, for example).
