Academic years and terms

Everything in SR belongs to a term: registers, scores, fees and payments. Terms belong to an academic year (for example 2026/2027).

  • An admin creates each academic year and chooses how it's divided: Trimester (three terms) or Semester (two semesters). SR then makes the terms.
  • SR doesn't create a year for you, because only your school knows which year it starts using SR in. Create the year you're in now, even if it began months ago.
  • The current term is the one an admin has started (Start in Transitions › Sessions). It's what SR opens on for everyone.
  • The term picker at the top of the app lets you look at an earlier term without changing the current one.
Why can't I delete one term? Terms are made with their year, so they go only with the whole year. That keeps a year from ending up with a missing term.

Levels, classes and streams

SR uses three words for groups of pupils:

Level
A stage of school: Nursery, Kindergarten, Lower Primary, Upper Primary and JHS. Fees are set per level.
Class
A year group, such as Basic 2 or JHS 1. SR has 13, from Nursery 1 to JHS 3, always in the same order. You can rename them (for example, “Grade 2” instead of Basic 2).
Stream
The actual group of pupils in a room, such as Basic 2A and Basic 2B. Every pupil is in a stream, and every class needs at least one stream, even a class with a single group.
The Classes page: classes grouped by level, each with its streams and a + to add one
Classes and streams
Why are the classes fixed? Because promotion then always knows the next class (Basic 2 goes to Basic 3), and fees and reports work the same in every school. Streams are yours to add, rename and remove, and are set up for each academic year: in a new year, Copy streams from… repeats last year's.

Roles: who can do what

Each login has a role. A person can have more than one, and switches with Work as… in the menu.

Admin
Sets up and runs the school in SR: years and terms, classes, staff, logins, students, fees, exams and reports. The admin who owns the school's account is the Owner: they manage the other admins and the account for online payments.
Bursar
Fees: fee lists, payments, receipts and debtors.
Head of Department (HOD)
Heads a level or subjects: sets exams, opens attendance registers, and approves teachers' scores (if the school asks for approval).
Teacher
Sees only their own classes and subjects. A teacher given a stream is its class master (class teacher): they mark its register and write report comments. Subject teachers enter scores.

The roles and permissions PDF lists every permission.

Attendance weeks and registers

Attendance is kept in registers: one per class per school day. Registers are grouped into numbered weeks of the term.

  1. An admin or HOD adds the week (New attendance week) and opens the registers for a day (Open attendance), for every class or one class.
  2. Each class master marks their class's register: present or absent, pupil by pupil.
The Attendance page: a class's register for a day, each pupil present or absent
Attendance
Why don't teachers open registers themselves? So every class counts the same school days. A report card says “present 58 of 60 days”: that only means something if the 60 days are the same for every pupil. It also stops stray registers on holidays or weekends.

Exam periods, class works and exams

Scores are grouped by exam period, such as “Mid-Term” or “End of Term 1”. In each period, each subject has assessments:

  • Class works (exercises, tests, projects): subject teachers add them for the subjects they teach, up to 6 per subject, class and exam period.
  • Exams: set by an admin or HOD, so every stream of a class sits the same exam out of the same mark.

Then: teachers enter scores and submit them, the HOD approves them (if the school asks for approval), an admin publishes them, and the reports are printed. Only published scores appear on reports and to parents.

The Gradebook: Report Setup, Grading, Scores, Publish, Results, Subjects and Heads
Gradebook (admins)
Why so many steps? Each one is a check: scores can't reach a report card, or a parent, until the people responsible have seen them. If something is wrong, the HOD or admin returns the scores to the teacher with a note, and the teacher corrects them and submits again.

Fee items, fee lists and payments

Fee item
Something you charge for: Tuition, PTA Levy, Feeding, Books…
Fee list (invoice)
Fee items with amounts, for one or more levels, in one term, such as “Term 1 Fees”.
Generating
Giving the fee list to every active pupil of the classes you choose. Each pupil gets their own copy, so a discount for one pupil doesn't change anyone else's.
Payment
Money received against a pupil's invoice. Each payment has a receipt; what's left is the pupil's balance, and everyone with a balance is in Debtors.

The web app and the desktop app

SR has two apps that share the same records:

  • The web app at sr.lauriandc.com, on any phone, tablet or computer. It needs the internet.
  • The desktop app on the school office PC. It works offline and syncs with the web whenever it's online, so the office carries on during network problems.

The guides here show the web app. The desktop app has the same features in the same places.

Questions

What's the difference between a class and a stream?
A class is the year group (for example Basic 2); a stream is a group of pupils within it (Basic 2A, 2B). Every pupil is in a stream, and every class needs at least one.
Why must an admin or HOD open attendance registers?
So every class counts the same school days, and the attendance on report cards can be compared. Teachers then mark their own class's register.
How many class works can a teacher add?
Up to 6 per subject, class and exam period. Exams are set by an admin or HOD.
Does SR create the academic year automatically?
No. An admin creates the year the school is in when it starts using SR, chooses Trimester or Semester, and starts the current term.
