The steps, and who does them

  1. Admin, once a term: subjects, grading, the exam period and report settings.
  2. Teachers: add class works, enter scores and submit them. Admin or HOD: set the exam.
  3. HOD (if your school asks for approval): approves or returns the scores.
  4. Admin: publishes them.
  5. Class master: writes each pupil's interest, attitude and comment.
  6. Admin (or HOD, if allowed): prints the report cards.

Why there are so many steps.

1. Set up the term's exams

Who can do thisAdmins

All in the Gradebook (More › Gradebook on a phone). Subjects and grading are done once; the exam period and report settings each term.

Gradebook, Report Setup: exam periods, assessment types and report settings
Gradebook › Report Setup (admins)
  1. Subjects: on the Subjects tab, press Create Subject for each subject, then choose a class, tick the subjects it takes and press Save. Give teachers their subjects in Staff (Assign Subject).
  2. Grading: on the Grading tab, press New grading system and add each grade with its range (for example 80 to 100 = 1, Highest). Or choose Descriptive for grades without scores, as in nursery.
  3. Assessment types: on Report Setup, press Add the usual types (class tests, exercises, projects and the exam).
  4. The exam period: under Exam periods, press Add: a name (“End of Term”), when it begins and ends, and whether it uses class scores.
  5. Report settings: under Report settings, press Add: the exam period, the level (or all), the grading system, how much class work and the exam count (for example 30% and 70%), and what the report shows (attendance, position, comment, GPA).

2. Class works and scores

Who can do thisSubject teachers (and admins)

The Scores page: a class's scores for one assessment, out of 100
Scores
  1. Open Scores and choose the class (Stream), the exam period, the subject and the assessment.
  2. To add a class work, press (New assessment): its type, the date and what it's out of. Up to 6 per subject, class and exam period. The exam is set by an admin or HOD in the same way.
  3. Type each pupil's score. Enter moves to the next pupil. Leave it blank if the pupil didn't do it (shown as incomplete).
  4. When the scores are complete, press Submit. They then go for approval, or straight to the admin.

A score sheet to fill in by hand? Print it from the Scores menu (⋮ › Score sheet).

3. Approve and publish

Who can do thisHODs approve; admins publish

Gradebook, Publish: scores ready to publish, submitted, returned and published
Gradebook › Publish (admins)
  1. HODs: open Review, check each submitted assessment, and press Approve, or Return with a note saying what to correct. The teacher corrects and submits again.
  2. Admins: open Gradebook › Publish and press Publish all ready, or publish one at a time. Published scores go on reports and to parents.
  3. Need to change something published? Press Unpublish, have it corrected, and publish again.

HOD approval is optional: turn it on or off in Settings › Academics. Without it, submitted scores go straight to the admin.

4. Comments for the report

Who can do thisClass masters

A class's results: each pupil's total, average, position, interest and attitude
Results (class masters)
  1. Open Results and choose your class. Each pupil's total, average and position are worked out for you.
  2. Open a pupil and fill in their interest, attitude and the class teacher's comment. SR suggests common ones.
  3. Press Save, then the next pupil.

5. Print the report cards

Who can do thisAdmins (HODs too, if allowed)

When the term's scores are final, close the exam period (Close on Report Setup) so nothing changes by accident.

Questions

How many class works can a teacher add?
Up to 6 per subject, class and exam period.
Why can't a teacher set the exam?
So every stream of a class sits the same exam, out of the same mark. An admin or HOD sets it.
Why don't my scores show on the report?
Only published scores do. Check Gradebook › Publish: the assessment may be submitted, returned or waiting for approval.
Can HODs print reports?
Yes, if the school allows it in Settings › Academics.
